VoxParse ("we", "our", "us") operates the voxparse.com website and the VoxParse API. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services.

1. Information We Collect

Account Information: When you create an account, we collect your email address, name, company name, company size, and intended use case.

Usage Data: We collect information about your API usage, including the number of requests, audio duration processed, timestamps, and cost data.

Payment Information: Payment processing is handled by Stripe. We do not store credit card numbers. We store only a Stripe customer ID and payment method metadata (card brand, last 4 digits) for display purposes.

Audio Data: Audio files uploaded for transcription are processed in memory and are not stored after processing completes. Audio data is transmitted via TLS 1.3, processed by our AI pipeline, and immediately discarded. Only the resulting transcription and analysis output is retained in your account.

2. How We Use Your Information

• To provide and maintain the VoxParse transcription and analysis service
• To process payments and manage your account balance
• To send transactional emails (login codes, welcome emails, usage notifications)
• To send occasional product updates (you can opt out by replying to any email)
• To monitor and improve API performance and reliability
• To detect and prevent fraud or abuse

3. Audio File Processing

Audio files are transmitted to our processing infrastructure via TLS 1.3 encrypted connections. Files are processed in memory and immediately discarded after transcription completes. Audio data is never written to disk or persistent storage. Audio files are not used to train AI models. Transcription results are stored in your account and accessible via the API until you delete them.

4. Data Sharing

We do not sell your personal information. We share data only with:

• Stripe: For payment processing
• Cloud Infrastructure Provider: For CDN, DDoS protection, encrypted data storage, and edge compute
• Email Service Provider: For transactional email delivery
• AI Processing Provider: For speech-to-text transcription and AI-powered analysis
• Google Analytics (GA4): For anonymous website usage analytics (subject to your cookie consent)

We may disclose information if required by law or to protect our rights.

5. Data Security

We implement industry-standard security measures including TLS 1.3 encryption, API key hashing (SHA-256), rate limiting, and infrastructure hosted on a globally distributed edge network. PCI-sensitive data detected in transcriptions is automatically masked.

6. Data Retention

• Account data: Retained for the lifetime of your account
• Audio files: Not stored. Processed in memory and discarded immediately after transcription completes
• Transcription results: Retained until you delete them or close your account
• Usage logs: Retained for 12 months for billing and support purposes
• Account balances: Credits expire after 6 months of account inactivity

7. Your Rights

You may request access to, correction of, or deletion of your personal data at any time by emailing [email protected]. If you are in the EEA, you have additional rights under GDPR including data portability and the right to lodge a complaint with a supervisory authority.

8. Cookies and Analytics

We use the following cookies and tracking technologies:

• Session cookies: HttpOnly, Secure, SameSite=Strict cookies for authentication. These are essential and cannot be disabled.
• Google Analytics (GA4): Used for anonymous website usage analytics. This is only activated after you provide consent via our cookie banner. You can withdraw consent at any time by clearing your cookies.

We do not use advertising cookies or third-party tracking pixels.

9. Children's Privacy

VoxParse is a B2B service not intended for use by individuals under 18. We do not knowingly collect information from children.

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Continued use of the service after changes constitutes acceptance.
