VoxParse ("we", "our", "us") operates the voxparse.com website and the VoxParse API. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services.
1. Information We Collect
Account Information: When you create an account, we collect your email address, name, company name, company size, and intended use case.
Usage Data: We collect information about your API usage, including the number of requests, audio duration processed, timestamps, and cost data.
Payment Information: Payment processing is handled by Stripe. We do not store credit card numbers. We store only a Stripe customer ID and payment method metadata (card brand, last 4 digits) for display purposes.
Audio Data: Audio files uploaded for transcription are processed in real time and are not stored after processing completes. We do not retain copies of your audio files.
2. How We Use Your Information
- To provide and maintain the VoxParse transcription and analysis service
- To process payments and manage your account balance
- To send transactional emails (login codes, welcome emails, usage notifications)
- To send occasional product updates (you can opt out by replying to any email)
- To monitor and improve API performance and reliability
- To detect and prevent fraud or abuse
3. Audio File Processing
Audio files are transmitted to our processing infrastructure via TLS 1.3 encrypted connections. Files are processed in isolated containers and are automatically deleted upon completion of the transcription. We do not use your audio data to train AI models. Transcription results are stored in your account and accessible via the API until you delete them.
4. Data Sharing
We do not sell your personal information. We share data only with:
- Stripe: For payment processing
- Cloudflare: For infrastructure, CDN, and DDoS protection
- Amazon Web Services: For transactional email delivery (Amazon SES)
We may disclose information if required by law or to protect our rights.
5. Data Security
We implement industry-standard security measures including TLS 1.3 encryption, API key hashing (SHA-256), rate limiting, and infrastructure hosted on Cloudflare's SOC 2 Type II certified network. PCI-sensitive data detected in transcriptions is automatically masked.
6. Data Retention
- Account data: Retained for the lifetime of your account
- Audio files: Deleted immediately after processing (not retained)
- Transcription results: Retained until you delete them or close your account
- Usage logs: Retained for 12 months for billing and support purposes
- Account balances: Credits expire after 6 months of account inactivity
7. Your Rights
You may request access to, correction of, or deletion of your personal data at any time by emailing [email protected]. If you are in the EEA, you have additional rights under GDPR including data portability and the right to lodge a complaint with a supervisory authority.
8. Cookies
We use only essential cookies for authentication (session tokens stored in localStorage). We do not use tracking cookies, advertising cookies, or third-party analytics scripts.
9. Children's Privacy
VoxParse is a B2B service not intended for use by individuals under 18. We do not knowingly collect information from children.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Continued use of the service after changes constitutes acceptance.
